Job Summary:
The Assistant Vice President for Business Services is mainly responsible for assisting the Vice President for Human Resources and University Services (VP-HRUS) in leading the University Business Services including purchasing, supply, auxiliary services, events, and hospitality in both campuses, Beirut and Byblos.
The AVP Business Services reports to the Vice President for Human Resources & University Services (VP-HRUS).
Main Duties & Responsibilities:
- Lead and oversee the daily operations of the different departments and offices, maintaining high quality services to all University constituents and visitors.
- Develop, monitor and implement Business Services departmental policies, goals, objective and procedures, conferring with the VP-HR&US as necessary.
- Determine staffing requirements, and interviews, hire and train new employees, or oversee those personnel processes.
- Oversee and manage the departmental capital and operating budgets and controls expenditures. Justify investments and strategies.
- Allocate sufficient resources and manage the Business Services staff so that high quality services are provided to all the University constituents.
- Supervise the purchasing function and plays a leadership role in developing and automating its systems and processes in order to provide effective and efficient purchasing services to the University community.
- Review and approve significant purchases. Act as chief negotiator with vendors. Make decisions vis-a-vis outsourcing versus in-house provisioning of services.
- Oversee all bidding processes pertinent to his/her area as required, ensuring adherence to University regulations.
- Oversee University Hospitality maintaining excellence in service in the areas of custodial services, catering and events management.
- Provide leadership to the area of supply management, store and warehousing, as well as University assets management.
- Oversee University Auxiliary Services including postal and communication services, transportation and parking services, as well as ID and printing services, coordinating daily operations with all concerned University constituents.
- Work closely with all academic and administrative University executives to determine and plan the institution’s needs.
- Manage relationships, convey administrative directives, lead and facilitate organizational change, and influence organizational strategy.
- Perform other duties pertinent to this job as assigned or appropriate.
Minimum Required Qualifications:
- Master’s degree from a renowned university
- Minimum 15 years of work experience, 5 of which are in supervisory role managing similar functions
- Superb in management, strategic planning and implementation, and budget management and oversight
- Focused, goal and metric-driven
- Ability to lead a diversified team, coach and develop people and foster a spirit of cooperation and integrity
- Excellent communication and interpersonal skills
- Professional English and Arabic writing and speaking skills
- Advanced computer skills and the ability to deal with sophisticated systems implementation and operation
- Collaborative, creative, and innovative
- Ability to work under pressure and meet deadlines
- Service oriented with excellent customer service skills and attitude
