Executive Assistant to the Vice President for University Advancement

Occupational Summary:

The Office of the Vice President for University Advancement (VPUA) is currently searching for an Executive Assistant to support the office in all its clerical and administrative duties. The position will be located at the LAU New York Headquarters and Academic Center in midtown Manhattan. 

Job Duties & Responsibilities:

  1. Receives and screens visitors’ telephone calls, emails, faxes and other correspondence providing information and resolving complaints which regularly require the use of good judgment and the interpretation of policies and procedures.
  2. Schedules and maintains the VPUA calendar of appointments, meetings and travel, and makes necessary logistic arrangements to support these activities, including preparing donor materials.
  3. Coordinates the VPUA’s meetings, takes minutes and circulates them. Also, coordinates some office functions and activities with other departments.
  4. Researches, compiles and summarizes a variety of informational, statistical and budget materials.
  5. Transforms statistical materials from data into PowerPoint presentations including various charts and visuals to be presented to Senior Management.
  6. Manages the administrative support for events and conferences hosted by the VPUA or his/her subordinates, handling all details as required.
  7. Implements the necessary procedures to comply with LAU’s archiving system and sets up any necessary additional information filing system in a professional manner so as to control and manage confidentiality of the records, files and databases.
  8. Drafts memos, letters, statements, reports and prepares PowerPoint presentations.  Maintains database, lists and office records.
  9. Assists the VPUA as directed in responding to various correspondences, typing of memos and letters, etc.
  10. Coordinates closely with the Beirut Assistant on calendar, scheduling and other matters.
  11. Performs other related duties as assigned.

Desired Qualifications and Profile:

  1. Bachelor’s degree preferred.
  2. Minimum 3 years as an executive assistant, preferably in higher education.
  3. Strong communication (verbal and written) skills in English; some French or Arabic is a plus
  4. Highly organized 
  5. Excellent typing skills and advanced knowledge of the MS Office Suite, especially Word, PowerPoint, and Excel.
  6. Knowledge of Raisers Edge a plus
  7. Experience with social media from a business perspective
  8. Excellent phone skills and experience in public relations. 
  9. Ability to maintain confidentiality. 
  10. Strong interpersonal, relationship and leadership skills.
  11. Knowledge of and experience with budgets 
  12. Excellent analytical skills with the ability to work with diverse teams.
  13. Some understanding of Lebanon and the Middle East is preferred.
  14. Represents LAU professionally with all constituencies at all times.
