The IT Department in Beirut Campus has a vacancy for an IT Maintenance Contracts & Quality Assurance Administrator who will be reporting to the IT directors.
Job Summary
The IT Maintenance Contracts & Quality Assurance Administrator is mainly responsible for:
Performing administrative and office support activities for the IT directors and some support to other staff members in the IT Department when time permits.
Administration of IT maintenance contracts, maintenance support calls and acts as a liaison between the IT Department and providers
Testing and monitoring of systems and standards of the IT Department.
Main Duties & Responsibilities
- Manage the department’s purchasing process with the Purchasing Office including submission of purchase requisitions and coordination of asset tracking.
- Manage and organize appointment calendars, schedule meetings, arrange for conferences, handle faxes, answer telephones, maintain a filing system and greet and receive visitors for the four directors.
- Take meeting minutes and action items during meetings and perform follow-up.
- Assist in the development of presentations for the directors.
- Process departmental invoices and expenses while coordinating within the department budgets.
- Arrange travel, transportation and hotel accommodations for IT staff as well as provide administrative support for events and conferences hosted by the directors, handling all details required.
- Contact service personnel to fix any breakdowns or machine malfunctions in the department.
- Coordinate office moves and on-boarding of new staff.
- Order and maintain office supplies.
- Supervise the work of student assistants assigned to the department and monitor their contracts and timesheets to ensure they fulfill their duties.
- Manage IT Maintenance Contracts. Receive requests for outsourcing maintenance, repair, and subscription services. Prepare bid documents, evaluate received bids including analysis and recommendations. Prepare the applicable maintenance contract in coordination with the end user. Follow-up on scheduled maintenance visits and services. Check related invoices.
- Work with the IT technical team to recommend and run scripts for the purpose of testing and optimizing the implementation of the IT systems and services.
- Work with the IT technical team to maintain requests for users and/or application changes in the IT change request application.
- Generate and monitor IT related Key performance indicators and report them to the concerned director.
- Assist in IT procedures documentation and versioning.
Minimum Qualifications & Skills
- Holder of a B.A. or B.S. or equivalent in the IT field.
- Minimum of 4 years work experience in Information Technology and office management.
- Excellent organizational skills with the ability to work independently in a fast paced environment
- Must have knowledge of a variety of computer software applications in word processing, spreadsheets, e-mail, database and presentation software.
- Should be able to work with minimal supervision, be detail-oriented, dependable, and possess excellent communication and interpersonal skills while maintaining confidentiality of the office.
- Should have a proven ability to work effectively in a multi-tasked team environment.
- Should be able to interact with others in a diplomatic manner.
- Should be able to prioritize workload and function under stress at times.
- Exercise discretion, good judgment and initiative.
