Graduation Clearance & Records Officer

The Registrar’s Office - Byblos Campus- has a vacancy for a Graduation Clearance & Records Officer to work in the Graduation and Scheduling Unit.
Basic Responsibilities:
- Provides administrative assistance to the Associate Registrar in tasks related to the Graduation and Scheduling Unit.
- Receives students and attends to their requests
- Performs daily correspondence and filing
- Maintains, processes and updates files, records and/or other documents
- Performs data entry, data analysis and other duties
- Answers queries concerning graduation, room reservations and Commencement exercises
- Assists in the preparation of statistical reports
- Follows up on all processes related to graduation
- Issues Clearance letters after checking with the Associate Registrar
- Assists in the transfer of credits evaluation in coordination with academic units
- Assists in the implementation of our scheduling policy
- Establishes and maintains a formal filing system for candidates of graduation
- Edits and proofreads documents
- Ensures the accuracy and precision of prepared data
- Coordinates with other departments/schools on administrative and/or operational matters
- Performs various administrative tasks related to the unit
- Performs duties as assigned by the Associate Registrar
- Reports to the Associate Registrar, Deputy Registrar and the University Registrar
Minimum Qualifications:
- MA/MBA degree from a recognized university (two to three years’ experience in a similar academic setting is a plus).
- Excellent oral and written English and Arabic communication skills
- Advanced computer skills and Microsoft Office applications, specially Excel/Word
- Excellent analytic mind and problem solving skills
- Reliable and dependable to maintain confidentiality of records and information
- Ability to relate well to a variety of individuals, including students, staff, faculty and visitors
