Administrative Assistant
The Advancement Entity / Development Office is currently looking for an Administrative Assistant reporting to the Director of Development. This is a central position that is primarily based on Beirut campus, with occasional commuting to Byblos campus.Role Summary
The Administrative Assistant is mainly responsible for supporting the fundraising teams. S/he assists with office administrative tasks, ensures the smooth execution of fundraising activities by handling travel logistics, coordinating research follow-up and with the Advancement Operations units to ensure fundraisers have the information they need to succeed. This role will also assist with data entry in Raiser’s Edge NXT.
Main Duties & Responsibilities
- Coordinates travel arrangements and itineraries fundraisers and visiting leadership
- Follows up on prospect research and assists in preparing research briefings
- Drafts gift agreements using approved templates and ensures timely routing for review and signature
- Collaborates with the Gifts & Records team to secure stewardship reports and giving histories
- Enters and updates prospect data in Raiser’s Edge NXT and assists fundraisers in running reports
- Supports the preparation of donor visit materials, proposals, and presentations (Word, PowerPoint)
- Handles calendars, meeting logistics, and follow-up communications for the fundraising teams
- Assists in donor cultivation and stewardship events in collaboration with the stewardship team and fundraisers
- Handles event logistics including venue booking, catering, invitations, guest lists, and donor recognition items
- Assists in preparing event materials such as signage, programs, and donor profiles
- Handles the filing and organization of work materials
- Acts as backup support for office staff as needed to ensure continuity of operations
- Performs other duties pertinent to this job as assigned by the direct supervisor
Minimum Required Qualifications
- Bachelor’s degree
- Minimum 1 year of administrative support experience, preferably in higher education, healthcare, or nonprofit settings
- Proficiency in MS Office skills: Microsoft Word, Excel, PowerPoint, and Outlook
- Familiarity with Raiser’s Edge NXT or similar CRM systems is preferred
- Excellent organizational, communication, and writing skills
- Ability to manage multiple priorities and maintain confidentiality
- Highly organized, tech-savvy, and service-oriented
Work Schedule
The standard work schedule for this position is Monday through Friday 8:00 AM to 4:30 PM, with possible/ occasional attendance after hours and/or during weekends/holidays to ensure business continuity and support.
