Administrative Assistant
The Philip A. Salem Academy for Lebanese Heritage is currently looking for an Administrative Assistant reporting to the Director of the academy. This position is primarily based on Beirut campus, with occasional commuting to Byblos campus.Role Summary
The Administrative Assistant is mainly responsible for providing administrative support to the Philip A. Salem Academy for Lebanese Heritage. This role involves welcoming visitors, preparing correspondence and materials, maintaining records, and supporting the organization, archiving, and preserving the academy’s extensive historical and cultural collections. S/he ensures that materials are systematically catalogued, indexed, and readily accessible to researchers, scholars, and visitors.
Main Duties & Responsibilities
- Performs full clerical, administrative, and general office duties involving typing, record and file maintenance, document creation, mail distribution, telephone and center reception
- Organizes, updates, and maintains the academy’s extensive archive of historical and heritage-related materials collected since 2002
- Archives, catalogues, classifies, and indexes documents, publications, photographs, manuscripts, and other heritage resources to facilitate efficient retrieval and long-term preservation
- Maintains organized physical and electronic filing systems to ensure all materials are accurately documented and easily accessible
- Types and prepares documents accurately in both Arabic and English, including correspondence, reports, inventories, catalogues, and archival records
- Supports researchers, scholars, and visitors by facilitating access to archived materials and reference resources
- Schedules appointments and plans meetings, conferences, and travel
- Prepares meeting agendas and compiles relevant materials; takes minutes as needed
- Conveys the Director’s instructions or requests to relevant individuals or departments and facilitates the exchange of information as needed
- Organizes and expedites the flow of work through the director and initiates any necessary follow-up actions
- Performs other duties pertinent to this job as assigned by the direct supervisor
Minimum Required Qualifications
- Bachelor’s degree
- Minimum 1 year of administrative support experience, preferably in an academic, cultural, archival, or library setting
- Advanced typing and writing skills in both Arabic and English with a high degree of accuracy
- Experience in archiving, cataloguing, indexing, records management, and document organization
- Strong interpersonal and communication skills
- Highly organized, detail-oriented, with ability to manage multiple tasks simultaneously
- Proficiency in Microsoft Office Suite and other relevant software applications
- Ability to work effectively under pressure while meeting deadlines
- Ability to handle confidential information with discretion and maintain accuracy in managing historical and archival collections
Work Schedule
The standard work schedule for this position is Monday through Friday, with possible/ occasional attendance after hours and/or during weekends/holidays to ensure business continuity and/or support events.
