Executive Assistant (VP)
The Office of the Vice President for Finance is currently looking for an Executive Assistant (VP) reporting to the Vice President for Finance – Chief Financial Officer. This is a central position that is primarily based on Beirut campus, with occasional commuting to Byblos campus.Role Summary
The Executive Assistant (VP) is primarily responsible for providing high-level administrative support to the Vice President for Finance - CFO of a highly responsible and confidential nature. S/he has thorough knowledge of the office’s method of operation and organization, frequently communicates with senior-level internal and external stakeholders and is regularly exposed to confidential data.
Main Duties & Responsibilities
- Handles the Vice President’s calendar, scheduling meetings and appointments while prioritizing time-sensitive tasks
- Coordinates office operations, sets priorities, organizes, anticipates needs and exercises sound judgment, particularly with sensitive or confidential matters
- Receives and screens visitors and incoming communications, answers routine questions, refers or responds on behalf of the Vice President as appropriate
- Organizes and prepares meetings material, including agendas, reports and presentations, takes minutes and follows up on action items
- Handles sensitive financial, personnel, and institutional information with the highest level of confidentiality and professionalism
- Serves as the primary point of contact for internal and external stakeholders
- Provides administrative support for events hosted by the office
- Maintains accurate and organized records, files, and databases
- Arranges travel, accommodations, and itineraries for the Vice President and guests
- Assists in resolving, researching, assessing, and referring problems, often of a sensitive or confidential nature
- Assists in preparing and tracking the office budget
- Monitors office supplies and processes purchase requests as needed
- Researches a wide variety of information requests independently as directed
- Prepares and edits correspondence, reports, presentations, letters, memoranda, and other documents
- Prepares charts, graphs, and tables for presentations or inclusion in reports
- Organizes and prepares documents requiring the integration of multiple office technology and software applications
- Compiles and presents data reports as required
- Reports periodically on the status and progress of work to the direct supervisor
- Ensures the proper maintenance and safekeeping of personally handled documents and files
- Performs other duties pertinent to this job as assigned
Minimum Required Qualifications
- Bachelor’s degree in Business Administration, Finance, Management, or a relevant field
- Minimum 6 years of working experience in office management, preferably in higher education. Experience in finance-related environments or supporting finance executive is strongly preferred
- Has a thorough understanding of an executive assistant’s responsibilities and working style, demonstrating a high level of tact and integrity
- Works independently on a variety of special projects
- Commitment to maintaining confidentiality and protecting the privacy of individuals and the University
- Strong organizational skills
- Demonstrated interpersonal and public relations skills
- Advanced communication skills in both English and Arabic
- Skilled in using MS Office Suite and other applications
- Analytical quantitative skills are a plus
Work Schedule
The standard work schedule for this position is Monday through Friday 8:00 AM to 4:30 PM, with possible/ occasional attendance after hours and/or during weekends/holidays to ensure business continuity and/or meet deadlines.
