Graduation & Records Officer - Byblos
The Registrar Office is currently looking for a Graduation & Records Officer reporting to the Associate Registrar. This position is based on the Byblos campus.Role Summary
The Graduation & Records Officer is mainly responsible for meeting with students to facilitate their graduation process, conducting degree audits and channeling student petitions. S/He also assists in the preparation of graduation lists and commencement exercises.
Main Duties & Responsibilities
- Receives graduation applications and maintains precise records on Excel
- Receives, processes petitions, and prepares necessary documentation related to the graduation unit
- Prepares and organizes files for graduating students
- Responds to student queries related to petitions, graduation applications and overload requests
- Follows up with students by phone/email to secure missing documents, petitions, etc. required for graduation
- Maintains and updates relevant Excel sheets
- Assists in the preparation of forms requested by students
- Provides support with the commencement booklet
- Produces and maintains the commencement marching lists
- Participates in the preparation and execution of the yearly rehearsals and commencement exercises
- Assists in the verification of printed diplomas
- Prepares and reports on data as requested
- Reports periodically on the status and progress of work to the direct supervisor
- Stays up-to-date with industry trends, best practices, and emerging technologies relevant to the role
- Acts as backup support for office staff as needed to ensure continuity of operations
- Performs other duties pertinent to this job as assigned
Minimum Required Qualifications
- Bachelor degree
- Minimum 2 years of work experience within an academic setting; experience in customer service is a plus
- Advanced knowledge in Microsoft Office (especially Excel); knowledge of Banner is a plus
- Strong communication skills in oral and written English
- Strong attention to detail and accurate execution of tasks
- Good planning and organization skills
- Team-work orientation
- Adaptability to change
- Ability to multi-task and possess the patience to provide excellent customer service to students
