Office Manager
The Office of the Vice President for Finance is currently looking for an Office Manager reporting to the Vice President for Finance – Chief Financial Officer. This is a central position that is primarily based on Beirut campus, with occasional commuting to the Byblos campus and LAU Medical Centers.Role Summary
The Office Manager is primarily responsible for providing high-level administrative support to the Vice President for Finance - CFO of a highly responsible and confidential nature. S/he has thorough knowledge of the Office’s method of operation and organization, frequently communicates with senior-level internal and external stakeholders and is regularly exposed to confidential data.
Main Duties & Responsibilities
- Handles the Vice President’s calendar, scheduling meetings and appointments while prioritizing time-sensitive tasks
- Coordinates office operations, sets priorities, organizes, anticipates needs and exercises sound judgment, particularly with sensitive or confidential matters
- Receives and screens visitors and incoming communications, answers routine questions, refers or responds on behalf of the Vice President as appropriate
- Organizes the finance calendar and timetable, monitor reporting deadlines and reports periodically on the progress of work to the direct supervisor
- Assists in resolving, researching, assessing, and referring problems, often of a sensitive or confidential nature with the highest level of confidentiality and professionalism
- Prepares charts, graphs, and tables for presentations or inclusion in reports
- Organizes and prepares documents requiring the integration of multiple office technology and software applications
- Supervises and implements the signatory matrix, ensuring that payments and proper communication are issued in a timely manner
- Prepares letters, memoranda, meetings agendas, reports and presentations, takes minutes and follow ups on action items
- Maintains accurate and organized records, files, and database to control and manage the confidentiality of the Office of the Vice President for Finance ’s records, files and databases
- Arranges travel, accommodation, and itineraries for the VP and guests
- Provides administrative support for events hosted by the office
- Assists in preparing and tracking the office budget
- Monitors office supplies and processes purchase requests as needed
- Performs other duties pertinent to this job as assigned by the direct supervisor
Minimum Required Qualifications
- Bachelor’s degree in Business Administration, Finance, Management, or a related field
- Minimum 6 years of working experience in office management, preferably in higher education. Experience in finance-related environments or supporting finance executive is strongly preferred
- Has a thorough understanding of an office manager’s responsibilities and working style, demonstrating a high level of tact and integrity
- Commitment to maintaining confidentiality and protecting the privacy of individuals and the University
- Strong organizational skills
- Demonstrated interpersonal and public relations skills
- Advanced communication skills in both English and Arabic
- Skilled in using MS Office Suite and AI applications
- Analytical quantitative skills are a plus
Work Schedule
The standard work schedule for this position is Monday through Friday, with possible/ occasional attendance after hours and/or during weekends/holidays to ensure business continuity and/or meet deadlines.
