Part-Time Administrative Assistant - Byblos
The Inter-Professional Education Program (IPE) is currently looking for an Administrative Assistant reporting to the IPE Program Coordinator. This position is based on the Byblos campus.Role Summary
The Administrative Assistant is mainly responsible for providing administrative support to IPE-related activities.
Main Duties & Responsibilities
- Handles the logistics of IPE core sessions and elective activities such as IPE 200, IPE 300, IPE 400, practice-based IPE activities, simulation-based IPE activities, conferences and symposia, meetings scheduling, agendas and minutes taking in coordination with the IPE Program Coordinator and Chair, the logistics, room and multimedia reservations, student reminders and follow-ups, evaluation form completions and analyses, facilitator guides, and transportation and travel requests
- Generates and maintains effective workflow and communication between the IPE workgroup and concerned people and units
- Assists with the students’ registration in required and elective IPE sessions and updates completion status for follow-up with the schools/programs concerned
- Regularly checks the IPE email and responds in agreement with the IPE Program Coordinator and Chair
- Assists in the issuance of faculty/facilitators contracts for IPE-related activities
- Collects, compiles and summarizes data, information and evaluations of all IPE sessions and activities
- Keeps records and organizes files, completion lists, and evaluation reports of all IPE sessions including all students and facilitators involved
- Updates the IPE website regularly
- Provides administrative support for IPE events, symposia, and conferences
- Assists with special projects as determined by the IPE Program Coordinator, workgroup or Chair based on emerging needs and advancement necessities
- Performs other duties pertinent to this job as assigned
Minimum Required Qualifications
- Bachelor’s degree in communications, business administration, statistics, public health, or any related field
- Minimum of 1 year of experience in administrative support
- Strong communication skills in written and spoken English and Arabic
- Ability to handle multiple priorities, deadlines, schedules, and activities simultaneously
- Ability to independently follow up with various academic stakeholders and clinical practice partners and ensure completion of assigned tasks
- Strong attention to detail and accuracy in record-keeping
- Dedication to maintaining confidentiality and ethics in academics
- Proficiency in MS Office Suite, basic AI tools, WebEx, and other applications
- Professional interpersonal communication with students, faculty, administrators, clinical partners, and external stakeholders
- Ability to draft and edit professional correspondence, announcements, reports, meeting agendas, and minutes
Work Schedule
Hourly-based contract. Occasional afternoons, weekends, and/or holiday attendance may be required to support IPE Program activities.
