Part-Time Student Services Assistant – Beirut
The Registrar Office is currently looking for a Student Services Assistant. This position is based on Beirut campus.Role Summary
The Student Services Assistant provides administrative support to the Student Services Unit and the Registrar Office as needed.
Main Duties & Responsibilities
- Assists the Students Service Unit (SSU) help desk services in its various tasks and assists other office units when needed
- Performs full clerical, administrative, and general office duties involving, data entry, record and file maintenance, document creation, mail distribution, and telephone reception
- Prepares meeting agendas and compiles relevant materials; takes minutes when needed
- Conveys the supervisor’s directives or requests to relevant individuals or departments, and facilitates the exchange of information with others as needed
- Schedules appointments and makes arrangements for meetings, conferences, and travel
- Prepares routine letters and memoranda for signature
- Organizes and expedites flow of work through supervisor’s office and initiates any follow-up action
- Produces a variety of correspondence, reports, presentations and documentation using the appropriate software for word processing, graphics, and spreadsheets
- Acts as backup support for office staff as needed
- Performs other duties pertinent to this job as assigned by the direct supervisor
Minimum Required Qualifications
- Bachelor’s degree
- Minimum 1 year of experience in administrative support, preferably in an academic setting
- Strong oral and written communication skills with proficiency in English and Arabic
- Ability to communicate and coordinate with students, faculty, staff in a friendly manner
- Proficiency in Microsoft Office, primarily Word and Excel
- Organized, detail-oriented, and able to manage multiple tasks simultaneously
- Ability to handle confidential student records with discretion
- Strong time management skills with the capacity to work in a fast-paced environment
- Demonstrates Initiative and proactive problem-solving skill
