Supply Coordinator - Byblos
The Business Services Department / Supply Unit is currently looking for a Supply Coordinator reporting to the Supply Manager. This position is based on the Byblos Campus, with occasional commuting to the Beirut campus.Role Summary
The Supply Coordinator is mainly responsible for supporting the day-to-day operations of the unit by ensuring seamless execution in ordering, tracking inventory and the assets transfer/ disposal transactions. S/he focuses on ensuring accurate data entry, timely follow-up, and adherence to established procedures, while contributing to the smooth flow of supply chain activities.
Main Duties & Responsibilities
- Assists in processing supply requests and orders through the designated system, ensuring accuracy and completeness of information
- Coordinates with the procurement department to follow up on order status and communicates updates as needed
- Reviews the stocked consumables to avoid inventory discrepancies
- Processes routine requests related to the transfer and disposal of assets under supervision and in line with procedures
- Maintains an updated database, and other departmental records, tracks completion of transactions, in addition to organizing files and records using an advanced information filing system
- Supports basic budget tracking activities by compiling data on expenditures, when required
- Assists in comparing basic supply specifications or samples and reporting observations to the supervisor
- Creates and maintains a database schedule that supports operations, including establishing lead-times, lot sizes and safety stocks
- Reviews invoices, work orders, and prepares consumption/statistical reports, and forecasts
- Supports tender-related activities by organizing documents and attending openings when required
- Implements and helps in developing standard operating procedures (SOPs) for all processes required to order, track, and receive inventory
- Compiles and presents data reports as required
- Reports periodically on the status and progress of work to the direct supervisor
- Ensures the proper maintenance and safekeeping of personally handled documents and files
- Acts as backup support for office staff as needed
- Performs other duties pertinent to this job as assigned by the direct supervisor
Minimum Required Qualifications
- Bachelor’s degree in Business Administration or a related field
- Minimum 1 year of administrative work experience
- Strong MS Office skills
- Excellent interpersonal skills
- Effective verbal and written communication skills in English and Arabic
- Ability to prioritize and handle multiple tasks or projects
- Detail oriented with a focus on operational efficiency
Work Schedule
This position follows a standard work schedule (Monday to Friday from 8:00am till 4:30pm), with possible/occasional attendance after hours and/or during weekends/holidays to ensure business continuity.
