Travel & Accommodation Coordinator
The Business Services Department / Hospitality Services is currently looking for a Travel & Accommodation Coordinator reporting to the Director of Hospitality Services.Role Summary
The Travel & Accommodation Coordinator is mainly responsible for identifying travel and accommodation arrangements that are in line with the requirements of the end-user at the best price/quality ratio and within the University travel and accommodation procedures.
The coordinator will also serve as the university point of contact for group travelers and individual travel sponsored by the university, for all international travel, and local and international accommodation for incoming visitors.
Main Duties & Responsibilities
- Processes travel requests, both outgoing and incoming, of faculty, staff, students, guests and visitors sponsored by the University and LAU Medical Centers
- Solicits price quotations from nominated or preferred travel agents/airlines and hotel groups, and transportation for outgoing, in line with university procedures to secure the best price/quality ratio; leverages the volume of travel requests for negotiations with travel agencies to secure discounts, offers and packages
- Acts as liaison between travel agencies and travelers, provides guidance and assistance to users on travel procedures, travel issues, and client regulations. Answers inquiries; reviews end user preferences and travel needs; arranges airfare bookings, offers suggestions and determines the optimal itinerary
- Handles visa requests of travelers sponsored by LAU
- Acts as point of contact for the business office regarding travel and accommodation payments; coordinates and monitors correspondence, secures proper approvals, receives and substantiates invoices and coordinates with the Business Office for the mode of payment as well as on-line payments
- Coordinates and processes travel insurance with insurance provider and preferred travel agent/air lines
- Acts as emergency contact for group travelers and individuals regarding urgent travel requests
- Maintains and updates travel documentation, and database; maintains records of all communication and transactions with travel agents/airlines/accommodation, and all received offers
- Sets the technical specifications for bidding with the assistance of the procurement office and participates in bid committees to select travel agents
- Monitors the services received by travel agencies, airlines and/or accommodation facilities, and provides recommendations to improve the services; acts and follows up on complaints
- Identifies potential travel agents and/or airlines through regular market reviews
- Establishes and maintains a list of service providers and a property listing database
- Handles the filing and organization of work materials
- Stays up to date with industry trends, best practices, and emerging technologies relevant to the role
- Prepares and reports on data as requested
- Performs other duties pertinent to this job as assigned by the direct supervisor
Minimum Required Qualifications
- Bachelor degree
- Minimum 3 years of relevant work experience in travel, or in a related capacity
- Excellent customer service skills
- Excellent organizational skills and attention to detail
- Effective verbal and written communication skills in English and Arabic
- Proficiency in MS Office (Excel, Word, PowerPoint)
Work Schedule
The standard work schedule for this position is Monday through Friday 8:00 AM to 4:30 PM, with possible/ occasional attendance after hours and/or during weekends/holidays to ensure business continuity.
