Executive Assistant

The Office of the Dean of Graduate Studies and Research is currently searching for an Executive Assistant who would be mainly responsible for providing administrative support to the Dean’s office as well as other related office functions. This position is primarily located on the Byblos campus.
Basic Functions & Responsibilities:
- Coordinate on office operation, set priorities, organize and anticipate needs and exercise good judgment, particularly with sensitive or confidential matters.
- Provide administrative support to the Dean. Compile data, solicit and research information from a variety of sources both on and off campus, and prepare minutes and reports as requested.
- Exercise independent judgment to perform special assignments as requested by the Dean.
- Resolve, research, assess, and refer problems, often of a sensitive or confidential nature.
- Assist in preparing and tracking the office budget, and record keeping for grants.
- Implement the necessary procedures to comply with LAU’s archiving system and set up any additional information filing system in a professional manner so as to control and manage confidentiality of the Dean’s records, files and databases.
- Supervise the work of student assistants assigned to the Dean’s office and monitor their contracts and timesheets, to ensure they fulfill their duties.
- Assist in managing and tracking cost-sharing commitments; ensuring annual fiscal management of budget and awards. Assist in reporting awarded grants to facilitate funds transfer and their annual allocation.
- Perform other duties pertinent or related to this job as assigned.
Desired Qualifications and Profile:
- A minimum of Bachelor’s degree from a renowned university. MA is a plus
- 5-7 years of office management experience, preferably in higher education
- Excellent communication skills in English and Arabic
- Skilled in typing and working in all major computer software, particularly Word, PowerPoint, Excel, and other applications
- Demonstrated interpersonal skills and experience in public relations
- Demonstrated initiative and interest in working in an academic environment
- Absolute ability to maintain confidentiality
